The Challenge
Before DocVoyage, the establishment faced day-to-day problems that slowed down work and created unnecessary confusion:
- Manual File Tracking: Files were registered and tracked by hand — there was no way to quickly know where a particular document was at any given moment.

The Solution: DocVoyage
File Registration and Barcode Tracking
Every document entering the organization is registered with a unique number, and a barcode sticker is printed and pasted on the physical file. From that point, every movement — desk to desk, section to section — is recorded digitally. Anyone with the right access can search the document number and see exactly where the file is and where it has been.
Court Case Management
A dedicated module manages court cases end to end: personnel number, name, rank, OA number, case type and nature, the court where it is filed, hearing dates, status, and final decisions. The case dashboard shows live counts of all cases under Pay, Pension, Appeals, and Miscellaneous categories — over 21,000 cases visible at a glance for senior officers.
Adverse Orders, Appeals, and GSL Tracking
When a court passes an order against the organization, it is recorded as an Adverse Order with the date and appearance details. If the organization appeals, the appeal is recorded separately and linked back to the original case — a clean, traceable record of how each legal matter progressed. The GSL (Government Sanction Letter) module tracks sanction type, date, type of relief, and the concerned member’s opinion, with a consolidated GSL list for straightforward compliance tracking.
File Transfer with Digital Acknowledgement
Every file transfer between sections or officers is recorded, and the receiver acknowledges receipt digitally — creating a clear chain of custody showing who sent it, who received it, and when.
Delay Reports and Colour-Coded Ageing
The system automatically flags files that have sat too long at any stage. The main dashboard gives each section a colour-coded ageing view — green for 0–15 days, yellow for 15–30, red for over 30 — so supervisors spot bottlenecks instantly without digging through registers.
Controlled File Destruction and Permanent Transfer
Files that have served their purpose go through a controlled destruction process with a permanent record, while files leaving the organization are tracked through the Permanent Transfer module.
